1 · The contract
Bookings on this site are operated by Bolney Properties Limited (company number 05192983, registered office Waterfield Mill Lane, Headley, Bordon, Hampshire, GU35 0PD) ("we", "us"). The contract for your stay is between you (the lead guest) and us, and is formed at the moment your payment is taken and a confirmation email is issued.
The lead guest must be 18 or over and is responsible for the conduct of all members of the booking party.
2 · Payment
All direct bookings are paid in full at the time of booking via our booking system. No booking is held without payment.
3 · Cancellation & refunds
Unless agreed otherwise in writing:
- Bookings that include any night during Henley Royal Regatta week (dates as published each year by Henley Royal Regatta, typically late June / early July): no refunds within 90 days of the start of Regatta week.
- All other bookings: no refunds within 30 days of the start of the booking.
- All refunds are subject to a 10% administration fee.
To cancel, email hello [at] henleystays.co.uk with your booking reference. Refunds are processed within 14 days to the original payment method. We may exercise discretion outside these terms in exceptional circumstances.
4 · Force majeure
If the property becomes uninhabitable (e.g. fire, flood, utility failure not within our reasonable control) we will either re-house you in another of our Henley properties where available, or issue a full refund. We are not liable for any further consequential loss (travel costs, alternative accommodation booked elsewhere, etc.).
If you cannot travel due to government-mandated travel restrictions affecting your specific journey, we will offer a credit valid for 12 months. Refunds in those circumstances are at our discretion.
5 · Check-in, check-out & access
- Check-in: any time from 15:00 on the day of arrival, there's no upper limit, you can arrive as late as you like.
- Check-out: by 11:00 on the day of departure.
- All three properties use self check-in via a key safe or smart lock. Access codes are sent by email the day before arrival.
- Early check in / Late check-out is sometimes possible, please ask and we'll do our best to accommodate where the following booking allows.
6 · House rules
By booking you agree that:
- Maximum occupancy is strictly enforced, Barlows Mews up to 6, Duck Cottage up to 4, Swan's Nest up to 6. Only registered guests may stay overnight.
- Sofa beds: at Barlows Mews and Swan's Nest, sofa beds may be used for additional guests. Where you have booked for 5 or more guests, the "cost" of sofa bed is included in your booking. If you are 4 or less and want to use the sofa bed, there is a £20 charge (to be paid in cash to our property manager) on arrival to cover the cost of laundry.
- Smoking, vaping, and e-cigarettes are not permitted anywhere on the premises (indoors or outdoors). A £200 cleaning charge applies in case of breach.
- Pets are not permitted. Recognised service animals will be reasonably accommodated, please tell us at the time of booking so we can prepare the property.
- Quiet hours: 23:00 – 07:00. The properties are in residential buildings with neighbours close by, please be considerate, particularly at Swan's Nest which directly overlooks Market Place.
- Commercial photography and filming is generally permitted, please contact us in advance so we can confirm and discuss any logistics.
- Guests are responsible for the property and its contents during the stay. Damage, breakages, or additional cleaning beyond reasonable wear will be invoiced after departure. We do not take a deposit for direct bookings, but we reserve the right to recover the reasonable cost of damage from the lead guest.
7 · Property-specific notes
- Barlows Mews has no on-site parking. See Getting Here for nearby options.
- Duck Cottage and Swan's Nest each have one private parking space in a nearby gated car park, suitable for cars, not vans or large vehicles. Please send us the details of your vehicle before you arrive (make, model, reg number) so we can resolve any issues of people being in the wrong spot. Do not park in any other spot in the private car park.
- Swan's Nest has multiple flights of stairs and a ladder to the twin bedroom. Not suitable for guests with mobility concerns.
8 · Liability
We are not liable for any personal injury or damage to personal property during your stay, except where caused by our negligence. We strongly recommend guests take out their own travel insurance.
9 · If something goes wrong during your stay
The properties are looked after by our local property manager, whose contact details are sent to you with your check-in instructions. If anything is wrong, facilities not working, cleanliness issues, anything else, please contact the property manager directly as soon as possible so we can address it. Complaints raised only after departure cannot be resolved in real time and may limit our ability to refund.
10 · Privacy

11 · Governing law
These terms are governed by the laws of England and Wales and the parties submit to the exclusive jurisdiction of the English courts.
12 · Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the version published on this site at the time you booked.
